Your role

The role

We are looking for an enthusiastic Project Coordinator to join our highly motivated Project Management team. The scheduling role lies within the Project Management Office and reports directly to the Project Management Office Manager.  This is a customer focussed role dealing with numerous internal and external stakeholders, therefore, the successful candidate must be able to juggle conflicting priorities in a technical environment whilst remaining calm under pressure.

The primary function of the role is to schedule consultants on client engagements matching their technical skill set and availability to the appropriate jobs.  It will entail working closely with all IRM consultants, sales team and clients to ensure that all expectations are met. You should be comfortable working with many different areas of the business and with staff at all levels.

Key responsibilities

  • Monitoring the sales pipeline for current and closed work
  • Pulling information from the CRM System in order to produce analytical reports that enable the Project Management Office to share data with the business
  • Matching the availability of technical consultants to the correct client assignments
  • Working with clients to understand their requirements and schedule consultation services accordingly
  • Creating and maintaining the consultant assignments through the scheduling software
  • Monitoring the confirmation and cancellation of technical projects and informing relevant individuals
  • Organisation of project logistics
  • Monitoring potential over runs and delivery issues and bringing to the attention of the PMO Manager when necessary
  • Distribution of client reports
  • Working with contractor partners to secure availability in line with capacity
  • Administrative tasks as required
  • Ensure processes and procedures are adhered to


Your profile

Essential requirements:

  • Previous scheduling/diary management/Project experience
  • Good level of computer literacy and ability to pick up new systems
  • Excellent written and oral communication skills
  • Excellent accuracy and attention to detail
  • Analytical and problem solving abilities
  • Ability to quickly absorb and apply technical knowledge
  • Ability to multi-task with excellent organisational skills
  • Ability to remain calm under pressure

Desirable requirements:

  • Previous experience in the technical industry
  • Commercial awareness
  • Understanding of ‘CHECK’ qualification
  • Salesforce and Professional Services Automation software experience.

Additional information

Due to the nature of our work, all IRM employees are required to comply with the Baseline Personnel Security Standard (BPSS) before they take up their post. BPSS is the minimum level of security clearance for all IRM employees, and forms the basis of higher levels of clearances that may be required.
